How we collect, use and protect the personal data you share with us through this website.

1. Who we are
This website (unisecuritygroup.co.uk) is operated by UNI SECURITY GROUP LTD (“we”, “us”, “our”), a UK security services provider offering construction site security, manned guarding, security guards, key holding, mobile patrols, retail security, commercial security and event security.
For the purposes of UK data protection law (the UK GDPR and the Data Protection Act 2018), UNI SECURITY GROUP LTD is the data controller for personal data collected through this website.

This website is a marketing and lead-generation site only. It does not process payments or sell goods online, and no contract for security services is formed through the website itself — an enquiry submitted here is a first step towards a separately agreed service contract.
2. Scope of this policy
This policy explains how we collect, use, share and protect personal data when you visit this website, request a quote, or contact us through it. It does not cover personal data we may hold about you through other means — for example as an existing client, supplier or employee — which is governed by separate arrangements.
3. What personal data we collect
We collect personal data directly from you through the two forms on this website — Request a Quote and Contact Us. Between them, these forms collect your name, company name, email address and phone number, along with details relevant to your enquiry — for example the site or business address, the type of security you need, guard numbers, dates and times, contract duration, or a general message describing what you’re looking for. Name, email, phone and your agreement to this policy are always required; everything else is optional and only collected if you choose to provide it.
Data we collect automatically, for security purposes
When you submit either form, we also automatically record your IP address, browser user-agent string and submission timing. This is used solely to detect and block automated or bot submissions — for example through a hidden “honeypot” field, a minimum-time-to-complete check, and a limit on how many submissions we accept from the same IP address in a short period. We do not use this information for any other purpose, and it is not linked to cookies or used to track your activity across the internet.
We do not seek to collect any special category data (such as health, racial or ethnic origin, or religious belief) through these forms, and you should not include such information in the free-text fields unless it is genuinely necessary to describe your security requirements.
4. How and why we use your data
We use the personal data you submit to:
- respond to your enquiry or quote request;
- assess your security requirements and, where relevant, prepare a quote;
- send you an automatic email acknowledgement confirming we have received your enquiry, including a reference code;
- keep a record of business enquiries and correspondence; and
- detect, prevent and investigate spam or abuse of our forms.
Our lawful basis for this processing under UK GDPR is that it is necessary to take steps, at your request, before entering into a contract (Article 6(1)(b)) — where you have asked us for a quote — and/or that it is in our legitimate interests (Article 6(1)(f)) to operate our business, respond to enquiries, keep reasonable business records, and keep our forms secure from abuse. We consider this processing proportionate and within your reasonable expectations as someone contacting a security services provider, and it does not override your rights and interests. The checkbox you must tick before submitting a form confirms your agreement that you have read and accept this policy — it is not itself a separate legal basis for processing, which instead rests on the grounds above.
We do not use your personal data for automated decision-making or profiling, and we do not sell or rent your personal data to anyone.
5. How long we keep your data
We do not currently operate a database or CRM system that stores form submissions long-term. When you submit a form, the enquiry is emailed to our own inbox and a record is also written to our hosting provider’s server logs as part of normal website operation.
- We keep enquiry records only for as long as reasonably necessary to respond to you, progress any resulting business relationship, and maintain sensible business records.
- Where an enquiry does not lead to a service contract, we do not intend to keep the record indefinitely and will delete it once it is no longer reasonably needed.
- Server logs held by our hosting provider are retained only for the limited period our provider uses for standard operational and security purposes.
We recognise that a fixed retention and deletion schedule is good practice, and intend to formalise one as our processes develop. If you would like a specific enquiry record deleted sooner, contact us using the details in Section 13 and we will action this unless we have a legitimate reason to keep it — for example, an ongoing matter.
6. Who we share your data with
We do not sell your personal data. We share it only with the following categories of recipient, each processing it on our behalf or as part of delivering the website and email service to us:
- Our website hosting provider — which hosts this website and processes form submissions on our behalf, including recording standard server logs.
- Our email service providers — the outgoing mail service used to send enquiries and automatic acknowledgements, and the mailbox provider where our business email is hosted.
These providers act as data processors and may only use your data to provide these services to us, not for their own purposes.
We have built optional functionality into the website to forward enquiries to a CRM or automation tool in future. This is not currently active or configured, and no enquiry data is currently sent to any such tool. If we activate this in future, we will update this policy first and identify the recipient involved.
We do not otherwise share your personal data with any third party, except where required by law — for example in response to a valid request from a regulator or law enforcement body — or as part of any future reorganisation, merger or sale of the business, in which case your data would be transferred subject to the same protections described in this policy.
7. International data transfers
The hosting and email infrastructure we use may involve providers whose servers or support operations are located outside the UK and the European Economic Area. Where this is the case, we require that appropriate safeguards recognised under UK data protection law are used to protect your data. We do not control the exact location of every server used by our providers at any given time, but we choose providers expected to maintain appropriate standards of data protection.
8. How we protect your data
We apply reasonable technical and organisational measures, including:
- Encryption in transit — data submitted through our forms is sent over an encrypted (HTTPS) connection.
- Restricted access — enquiry emails are only accessible to authorised personnel who need them to respond to enquiries or run the business.
- Anti-abuse controls — the honeypot field, minimum-fill-time check, and submission rate limiting described in Section 3 help prevent automated attacks on our forms.
No method of transmission or storage is completely secure, and we cannot guarantee absolute security, but we take reasonable steps appropriate to the data involved.
9. Children’s data
This website is intended for businesses and adult members of the public seeking security services, and is not directed at children. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data through this website, please contact us and we will delete it.
10. Your rights under UK GDPR
You have the following rights in relation to your personal data:
- Access — ask us for a copy of the data we hold about you.
- Rectification — ask us to correct inaccurate or incomplete data.
- Erasure — ask us to delete your personal data, where applicable.
- Restriction — ask us to limit how we use your data in certain circumstances.
- Objection — object to processing based on legitimate interests.
- Portability — ask us to provide your data in a structured, commonly used format, where technically feasible.
To exercise any of these rights, contact us using the details in Section 13. We will respond within the timeframes required by UK GDPR (normally one month).
You also have the right to lodge a complaint with the Information Commissioner’s Office (ICO), the UK’s data protection regulator, if you believe we have not handled your personal data properly — see ico.org.uk or call 0303 123 1113. We would welcome the chance to address your concerns directly first — please contact us before escalating to the ICO.
11. Cookies
This website does not currently use tracking cookies. See our separate Cookie Policy for full details of what cookies, if any, are used and how you can manage them.
12. Changes to this policy
We may update this policy from time to time — for example if the way we collect or use personal data changes, or if we activate functionality such as the CRM integration referred to in Section 6. We will post any changes on this page with an updated “last updated” date, and encourage you to review it periodically.
